However, once you have more than one computer, it can get pretty messy pretty fast. Many services will save your data &#8220;in the cloud&#8221;, which essentially means it&#8217;s on one or more servers somewhere and ready for you when you need it.<\/p>\n\n\n\n<p>Cloud storage like Dropbox is essentially a folder you share across all your devices &#8211; for example your desktop PC, your laptop, and your phone. If you add a file on your desktop PC, it&#8217;ll appear on your laptop and phone as well. Similarly, if you delete a file via your phone, it will disappear from your laptop and PC as well.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How I use the cloud as a freelancer<\/h3>\n\n\n\n<p>I use the cloud for three purposes:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>To store things I need to have accessible at all times<\/strong><ul><li>Active projects (contracts, reference files, etc.)<\/li><li>Useful templates (<a href=\"https:\/\/translationgeek.de\/blog\/sample-invoices-for-freelance-translators-germany-edition\/\">templates of invoices<\/a>, contracts, quotes,&#8230;)<\/li><li>Pricing chart (if someone emails to ask &#8220;how much would it cost to&#8230;&#8221;)<\/li><li>CV\/resume<\/li><\/ul><\/li><li><strong>To store important files I can&#8217;t lose<\/strong><ul><li>Travel documents (PDFs of airline or train tickets)<\/li><li>Digital copy of my passport and driver&#8217;s license<\/li><li>Tax info (invoices, receipts, etc. &#8211; anything an accountant would care about)<\/li><li>Address book<\/li><\/ul><\/li><li><strong>To share files across devices (or with other people)<\/strong><ul><li>Translation files (for sharing files if I collaborate on a project with someone else)<\/li><\/ul><ul><li>Photos (pictures I take with my mobile phone are automatically uploaded to my PC)<\/li><li>More photos (photos of events like weddings are shared with my family in a shared Dropbox folder)<\/li><li>My <a href=\"https:\/\/translationgeek.de\/blog\/efficiency-tips-for-translators-autohotkey-for-windows\/\">AutoHotkey script<\/a><\/li><li>Keepass file (in case I forget a password)<\/li><\/ul><\/li><\/ul>\n\n\n\n<div class=\"wp-block-uagb-inline-notice uagb-inline_notice__outer-wrap uagb-inline_notice__align-left uagb-block-4ec88bee\"><h3 class=\"uagb-notice-title\">Where to get free cloud storage space<\/h3><div class=\"uagb-notice-text\"><p>Many cloud storage services offer a limited amount of space for free, such as:<\/p><p><strong>Dropbox<\/strong><br>2GB of free storage space, plus an extra 500 MB (for you and me) if you go through my <a rel=\"noreferrer noopener\" href=\"https:\/\/www.dropbox.com\/referrals\/AACJ0aiCgofV7kZ94BCamJimC97RrvKLFBE?src=global9\" target=\"_blank\">referral link<\/a>. This is my favorite service and also a very common one. I often have clients share files with me via Dropbox.<\/p><p><strong>Sync<\/strong><br>5GB free space, plus 1GB extra (for you and me) if you go through my <a rel=\"noreferrer noopener\" href=\"https:\/\/www.sync.com\/?_sync_refer=c44942500\" target=\"_blank\">referral link<\/a>.<\/p><p><strong>pCloud<\/strong><br>10 GB free space. It&#8217;s a bit unclear to me if you get more via my <a rel=\"noreferrer noopener\" href=\"https:\/\/e.pcloud.com\/#page=register&amp;invite=vlXZvW3sHV\" target=\"_blank\">referral link<\/a>. This one appears not as a folder, but as it&#8217;s own drive name.<\/p><\/div><\/div>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Use_memoQ_across_computers_with_the_Language_Terminal\"><\/span>Use memoQ across computers with the Language Terminal<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p>This is a big one and it took me a while to figure this out. (Actually, <a rel=\"noreferrer noopener\" href=\"https:\/\/www.proz.com\/forum\/memoq_support\/345284-how_can_i_use_memoq_on_two_computers_via_cloud.html\" target=\"_blank\">someone on Proz<\/a> explained it to me.)<\/p>\n\n\n\n<p>memoQ allows you to use your license on two computers, but if you sometimes use your desktop PC and at other times your laptop, cloud solutions don&#8217;t really work. The most difficult part is to remember to do it.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Use_a_password_manager\"><\/span>Use a password manager<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p>Password managers help you remember your passwords and are more secure than that <a rel=\"noreferrer noopener\" href=\"https:\/\/expressdigest.com\/photo-of-hawaii-emergency-agency-shows-password-on-post-it\/\" target=\"_blank\">Post-it stuck to your screen<\/a>. If you work across two or more devices, you might find that password you saved in your browser to be gone from your memory when you try to log in on your phone.<\/p>\n\n\n\n<p>This is why I recommend a password manager.<\/p>\n\n\n\n<p>The way I use mine is to have Keepass installed on all my devices (with Keepass2Android on my phone) while keeping the Keepass file in my Dropbox folder. This way I can access the file with my passwords from anywhere.<\/p>\n\n\n\n<p>I also recently discovered 1Password, which makes browser-based passwords in particular very smooth to deal with. <\/p>\n\n\n\n<div class=\"wp-block-image is-style-default border\"><figure class=\"aligncenter size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"440\" height=\"235\" src=\"https:\/\/translationgeek.de\/blog\/wp-content\/uploads\/2021\/06\/1password.gif\" alt=\"\" class=\"wp-image-797\"\/><figcaption>The 1Password browser add-on enters your passwords for you.<\/figcaption><\/figure><\/div>\n\n\n\n<div class=\"wp-block-uagb-inline-notice uagb-inline_notice__outer-wrap uagb-inline_notice__align-left uagb-block-d9382f4e\"><h4 class=\"uagb-notice-title\">Keepass vs. 1Password<\/h4><div class=\"uagb-notice-text\"><p><strong>Keepass<\/strong><br>Keepass is a <strong>free <\/strong>and simple password manager available for a huge range of devices. Keep your Keepass file in the cloud and you can look up any password on the go on your phone. (See <a rel=\"noreferrer noopener\" href=\"https:\/\/keepass.info\/download.html\" target=\"_blank\">keepass.info<\/a>.)<\/p><p><strong>1Password<\/strong><br>Has more features than Keepass, e.g. a shared vault for passwords or other secret info you share with your family or spouse. Also saves and enters your credit card details or addresses automatically via a browser add-on. 1Password is not free (unless an employer uses a business plan and they give you a free family plan to go with it). <strong>Current price (6\/2021) is $2.99\/month.<\/strong> (See <a rel=\"noreferrer noopener\" href=\"https:\/\/1password.com\/\" target=\"_blank\">1password.com<\/a>.)<\/p><\/div><\/div>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Use_an_online_email_service\"><\/span>Use an online email service<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p>I&#8217;m late to the party with this one, as everyone else seems to be using Gmail online across all devices. That&#8217;s one way of doing it if you predominantly use one email address.<\/p>\n\n\n\n<p>I used to use <a rel=\"noreferrer noopener\" href=\"https:\/\/www.thunderbird.net\" target=\"_blank\">Thunderbird<\/a> as my email client for a long time and simply downloaded my emails on every device with the &#8220;Leave messages on server&#8221; option. Another way of dealing with an email client across devices is to use IMAP, so if you create folders or read emails on one device, the change is reflected on another.<\/p>\n\n\n\n<p>In the end, this turned out to be a massive headache, especially when I got more into blogging and affiliate marketing and I found myself with a ludicrous number of email addresses (21 and counting!).<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Free email providers<\/h3>\n\n\n\n<p>Obviously there are many email providers that are entirely free, such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><a href=\"https:\/\/www.google.com\/gmail\/about\/\" target=\"_blank\" rel=\"noreferrer noopener\">Googlemail<\/a><\/li><li><a href=\"https:\/\/www.gmx.net\" target=\"_blank\" rel=\"noreferrer noopener\">GMX<\/a><\/li><li><a href=\"https:\/\/web.de\" target=\"_blank\" rel=\"noreferrer noopener\">Web.de<\/a><\/li><li><a href=\"https:\/\/protonmail.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">Protonmail<\/a><\/li><li>etc.<\/li><\/ul>\n\n\n\n<p>They&#8217;re all fine and they&#8217;ll do what you want. For a professional freelancer, <strong>I always recommend getting your own domain<\/strong> so you can have a more professional-looking email address.<\/p>\n\n\n\n<p>However, you need to keep this in mind:<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-style-large is-layout-flow wp-block-quote-is-layout-flow\"><p>If you&#8217;re not the customer, you&#8217;re the product.<\/p><cite>&#8211; <a href=\"https:\/\/quoteinvestigator.com\/2017\/07\/16\/product\/\" target=\"_blank\" rel=\"noreferrer noopener\">Tom Johnson<\/a><\/cite><\/blockquote>\n\n\n\n<p>In other words, Google, GMX and any of the other ones wouldn&#8217;t offer you a free email service if you didn&#8217;t make them money &#8211; by producing data they can sell or use for targeted advertising.<\/p>\n\n\n\n<p>That&#8217;s why after years and years of using free email services, I decided I was ready to value my privacy and that of my customers and actually pay for my email service.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Fastmail<\/h3>\n\n\n\n<p>In the end, I decided to go with Fastmail and I haven&#8217;t looked back since. They have a free trial and I use their standard plan for $50\/year that gives me 30GB of storage space. They also have a 30-day trial so you know what you&#8217;re getting into. (You can get 10% off in the first year with this <a rel=\"noreferrer noopener\" href=\"https:\/\/ref.fm\/u23521224\" target=\"_blank\">referral link<\/a>.)<\/p>\n\n\n\n<p>They don&#8217;t show ads, they don&#8217;t use tracking, they don&#8217;t sell my data. Fastmail also has a very decent mobile app. <\/p>\n\n\n\n<p>I use the webmail interface through my browser and it&#8217;s intuitive and easy and bundles all my email addresses into the same inbox. There&#8217;s also a great search function, the option to pin messages, a feature for taking notes, and their spam filter is good enough to filter out a lot of the <a href=\"https:\/\/translationgeek.de\/blog\/scams-and-how-to-spot-them\/\" target=\"_blank\" rel=\"noreferrer noopener\">spam<\/a> and <a href=\"https:\/\/translationgeek.de\/blog\/the-cv-scam-explained\/\" target=\"_blank\" rel=\"noreferrer noopener\">phishing emails<\/a> I get every week.<\/p>\n\n\n\n<p>If you&#8217;re into that kind of thing, you can also use their integrated calendar, although I personally am happy just having a decent email provider who keeps my data private.<\/p>\n\n\n\n<hr class=\"wp-block-separator\"\/>\n\n\n\n<p>And that&#8217;s it!
